Got Questions?
...well, we've got answers. Check out our Frequently Asked Questions below..
I'VE BEEN IN CLERGY GROUPS WHERE EVERYONE JUST WHINED AND COMPLAINED. WHAT MAKES THE COMMUNITIES OF PRACTICE DIFFERENT?
CoP Groups are designed to be peer learning groups, focused both on the practice of ministry and your growth in your role as a minister. Trained facilitators are provided to help keep the group focused and organized. Through the development of a group covenant, each group commits to create a common, non-complaining, judgment-free zone.
WHO ARE THE FACILITATORS AND WHAT DO THEY DO?
All of the facilitators are either seasoned pastors or recently retired clergy with years of wisdom and ministry experience. Each has been specifically trained in CoP facilitation as well as group dynamics. Their role is to not be the "experts" of the group, but they are there to guide and stimulate conversation and encourage member participation. Facilitators are also responsible for holding group members accountable to their covenant, and organization within the group so that participants can be free to be present without leading.
HOW ARE THE GROUPS PUT TOGETHER?
The groups will be put together after a yet to be determined registration deadline. Lots of things will be taken into consideration in forming the groups. Two of the most important factors considered will be affinity (what do these people have in common, and will they gel together in a group) and geography. Obviously for those in virtual groups, driving distance will not be a issue. Your responses on the registration form will greatly assist in group placement.
Ideally groups will consist of 6-10 individuals along with a facilitator. Groups of less than 4 are not usually viable and will struggle to be sustainable.
Once your group has been formed, (unless group members decide otherwise) it will be a "closed" group for at least one year. No new members will be added.

HOW WILL I KNOW WHEN AND WHERE MY GROUP WILL MEET?
Groups will make their own decisions about scheduling meetings based upon everyone's availability. Once your group has been formed, your faciliator will contact you and your fellow group members to work out the meeting time and location details.
IS THERE A FEE? IF SO, HOW MUCH AND WHY?
Yes. The annual fee for participation is $250. The fee pays for almost all of the out-of-pocket operating expenses of your group. Those expenses include facilitator honorarium and travel, refreshments, virtual meeting software (virtual groups only), as well as a few resources that might be needed. Further, there are plans to host annual one-day gatherings where several groups can come together to fellowship and share their CoP experience. Additionally, asking participants to pay a fee is a good way to make your investment and commitment to the group tangible.
WHAT IF I NEED FINANCIAL HELP?
Financial Help Is Available!! We will begin encouraging congregations to include this expense in their annual budgets and in pastoral call agreements. Associations are being encouraged to designate funds for these groups as well. Ability to pay will not prevent you from being in a group. Scholarship funds are available. To inquire about financial assistance contact Associate Conference Minister Rev. Dr. Marsha Williams at [email protected]
HOW LONG AM I COMMITTED TO BE A PART OF MY GROUP?
Because developing trust among members is an essential element to the success of each group, we ask that each person make a one year commitment to their group. At the end of that time frame, members are certainly free to continue as a group together or to leave that group. Annually, groups that remain in tact can decide if they are open to accepting new members into their group.
WE'RE ALL HUMAN. THERE IS A PERSON WITH WHOM I DO NOT WANT TO BE IN A GROUP, OR A FACILITATOR WITH WHOM I DO NOT WANT TO WORK. WHAT DO I DO?
Understood. We want this to be an experience you value and look forward to. If there is something you think we should know in putting groups together please indicate that on your registration form or contact Associate Conference Minister Rev. Dr. Marsha Williams at [email protected]. This information will NOT be shared and you will not be placed in a group with that person. No questions asked.
I WANT TO JOIN A VIRTUAL ONLINE GROUP. IS THERE SOMEONE WHO CAN SHOW ME HOW TO SET UP MY COMPUTER?
Have no fear, members of your Conference staff are always ready and available to assist you with computer and software set up issues. You faciliator will also have a working knowledge of software set up as well. But don't worry, it really is a piece of cake.
I'M NEW TO THE CONFERENCE. IS THERE A DEADLINE TO SIGN UP?
As we are in the initial stages of implementing our Communities of Practice program, there is currently no "official" deadline to sign up. However, this may change as we move forward. Keep in mind that scholarship funds are limited as well, so signing up sooner is better than later.
